The Eighth Annual CaNIOS Principal Investigators meeting will be held once again
in conjunction with the Lupus Canada Annual General Meeting. This meeting is open
to CaNIOS Active and Associate members only.

Background Information
The annual meeting is an opportunity for patients, researchers, and stakeholders to meet and discuss issues associated with lupus and related research matters.
During the CaNIOS Annual General Meeting, members and affiliates from various Canadian academic hospitals and community practices will meet to review CaNIOS research, develop the 2009-2010 agenda, and engage members in workshops. An international expert in lupus research will also be invited to give us a lecture. The activity ‘Café Scientifique’ will take place on Friday evening. This year, the theme of the event is ‘Personalized Medicine: How will pharmacogenomics affect the way I manage my lupus?’ The activity will enhance knowledge transfer and exchange (KTE) to lupus patients and their families on the current state of lupus research in Canada and to allow them to ask questions that are often quite revealing to researchers.
Joint CaNIOS / Lupus Canada Program
The ‘Patient Symposium – Living Well with Lupus’ will be co-hosted by CaNIOS and Lupus Canada on Saturday April 4th 10:00 am – 4:30p.m.. The goal of the Symposium is to connect people living with lupus with lupus researchers. It is a valuable forum for health information, peer interaction and to obtain updates on lupus research.

RA / Coordinators participating in the Thursday afternoon RA Meeting are advice to arrive the Novotel Toronto Centre Hotel before noon time on Thursday April 2nd for lunch and meetings.
- Principle Investigators invited to join the Pediatric Group / LuNNET meeting should arrive before 3:00p.m. on Thursday April 2nd for the specialized group meetings.

Transportation to Novotel Toronto Centre Hotel:
Flights:
Individuals should include 1.5 hour commute (by taxi) from Pearson International Airport to the hotel.
Please note that you are required to purchase your own ticket and submit it for reimbursement. Flight allowances will be provided to eligible claimants. Refer to “Claiming your Expenses” for more information.
Trains:
The Novotel Toronto Centre Hotel is 2 minutes drive away from the Union railway station.

Car:
There are private indoor / outdoor parking within the hotel. There are also public parking close by. CaNIOS will reimburse auto mileage at the UHN rate of 40.5 cents per kilometre, plus parking.

Accommodation at the Novotel Toronto Centre Hotel has been pre-booked for CaNIOS PIs, Coordinators, RAs, as well as invited guest speakers.

Meeting participants are responsible for covering any accessory items, such as room services, Internet access fee and all phone calls.
CaNIOS will cover PIs, Coordinators, RAs, invited guest speakers’ 2-day accommodation (Thursday April 2nd and Friday April 3rd night). Exceptions may apply to those who travel from the West.
Check-in commences daily at 3:00p.m..
Secure storage of luggage and other items can be arranged for early arrivals.
Check-out must be made prior to 12:00p.m.
Requests for early or extended stays should be arranged with Cathy Chau at cchau@uhnresearch.ca .
Meals
Meals and coffee breaks will be provided to meeting attendees as indicated in the agenda. Please note that the maximum reimbursement allowance for Thursday April 2nd and Friday April 3rd’s dinner is $25.00.
Note: If you have special dietary needs or restrictions, please let us know as soon as possible and we will communicate this to the Banquet Services.
Claiming your Expenses:
Expense claims will only be accepted from guest speakers, CaNIOS PIs, RAs, and Coordinators (one PI and one RA from each centre).
Please be informed that the following maximum allowances (based on TANGO AIRLINES) will be reimbursed for flights + taxi / shuttles from and to airports.

REQUIRED DOCUMENTS FOR REIMBURSEMENT
CaNIOS will attempt to reimburse your expenses as quickly as possible, but CaNIOS is constrained by the policies set out from the Financial Services of UHN who hold the funds that finance CaNIOS.
Required documents include:
a) All boarding passes for air and train transport
b) Original itemized receipts for hotel stays
c) Original itemized receipts for car rentals, gas, and parking fees
d) Original itemized receipts for meals
e) Proof of purchase (i.e. credit card statement)
Failure to provide original receipts and proof of payment will cause delays in our ability to refund your expenses in a timely manner.
We hope this is helpful to you in planning your travel arrangements and understanding of the CaNIOS policy on reimbursement of costs. Please note that all requests for reimbursement must be accompanied by original receipts and should be sent to Cathy Chau within a month of the CaNIOS Annual Meeting.
